Careers - Administrative Assistant

HTRI seeks an individual to provide administrative and clerical support to the Senior Vice President and Group Leads in Research and Engineering Services. The onsite/hybrid position is based at our Navasota, Texas headquarters.

Principal Responsibilities

  • Compose routine correspondence and memoranda; use word processing applications to transcribe, format, and edit correspondence, reports, and documents.
  • Serve as corporate receptionist, including answering phones, transferring calls to appropriate staff member, and greeting/directing visitors; train new staff members to use the phone system. 
  • Provide administrative support to Technical Committee, including reviewing and posting meeting minutes, taking attendance and notes at meetings, reviewing and posting meeting agendas, and sending invitations for meetings. 
  • Provide administrative support to Communication Committees (CC), including working with the CC liaison to review and post meeting minutes, HTRI responses, and CC rosters.
  • Provide administrative support to Task Forces, including posting meeting agendas, minutes, and staff presentations, as well as maintaining member rosters.
  • Using enteliWEB software, monitor and schedule HVAC units for all buildings; work with vendors to run units for preventative maintenance; report potential problems to Senior Vice President, Research & Technology Center & Facilities Operations.
  • Schedule new and recurring meetings for technical staff and visitors, as needed.
  • Perform administrative duties for Technical Support team, such as updating inquiries received via HelpSpot with data from SAP, requesting additional information to verify membership and docket the inquiries, and preparing and distributing the Inquiry Activity report.
  • Maintain technical library; locate and purchase documents and books requested by staff; log and file books, periodicals, and literature documents in library.
  • Distribute technical reports for detail check and peer review.
  • Order, set up, and clean up of food/beverage for onsite staff and visitor meetings and for training events at HTRI global headquarters.

Qualifications

  • Seven years as an administrative or staff assistant
  • Professional experience with Microsoft Office (Word, Excel, and Outlook)
  • Data input accuracy
  • Good written and oral communication skills

Preferred but not essential

  • BS in business or communications related field and four years as administrative or staff assistant
  • Knowledge of SAP Business One
